Privacy Policy

1. Who We Are & What This Covers

Your Post Coach (the “Service”) is operated by Think Outside the Box LLC (“we,” “us,” or “our”). This Privacy Policy explains how we collect, use, share, and protect information when you visit yourpostcoach.com or use the Service. By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.

This Policy works together with our Terms of Service.

2. Information We Collect

2.1 Information you provide

• Account information. When you create an account, our authentication provider (Clerk) collects your email address and login credentials. We receive your account identifier and email.
• Profile / “Story Bank.” Details you choose to add to personalize coaching — for example your practice area, signature results, client stories, origin story, audience, posting goals, voice notes, role, jurisdiction, and any practice constraints. You decide what to enter; please don’t enter information you aren’t permitted to share (see Section 4).
• Draft content. The post drafts and text you submit to be scored, revised, or turned into ideas — along with the resulting scores, suggestions, and any feedback you give (for example a 👍/👎 or a note).
• Payment information. Payments are processed by Stripe. We receive limited billing details (such as subscription status and card brand/last four digits) but never your full card number.
• Communications. Messages you send us (e.g. support email) and your preferences.
• LinkedIn import (optional). If you use the import feature to seed your profile, we retrieve publicly available LinkedIn profile information through a third-party provider (Proxycurl) based on the URL you provide.

2.2 Information we collect automatically

• Usage & log data. How you interact with the Service — pages viewed, actions taken, and timestamps.
• Device & connection data. IP address, browser type, device, and similar technical information.
• Cookies & analytics. We use essential cookies to keep you signed in and analytics cookies (Google Analytics) to understand aggregate usage. See Section 6.

2.3 Information from third parties

We receive information from the providers that help us run the Service — for example identity and authentication details from Clerk, billing and subscription status from Stripe, and (if you use the import feature) public profile data from Proxycurl/LinkedIn.

3. How We Use Your Information

• Provide, operate, and maintain the Service and your account.
• Generate AI scores, section revisions, and post ideas, and personalize them using your Story Bank.
• Process payments, subscriptions, and free trials.
• Communicate with you about the Service, including service and billing notices and, where permitted, product updates.
• Improve the Service — including reviewing aggregated or de-identified usage and feedback to calibrate coaching quality.
• Maintain security, prevent abuse, and enforce our Terms.
• Comply with legal obligations and protect legal rights.

Where the EU/UK GDPR applies, we rely on these legal bases: performance of our contract with you, our legitimate interests (operating and improving the Service), your consent (e.g. for non-essential cookies), and compliance with legal obligations.

4. How AI Processing Works (and Your Content)

To generate scores, revisions, and ideas, the drafts and profile details you submit are sent to our AI provider, Anthropic(the Claude API), which processes them and returns output to us.

• No model training on your content. Anthropic states that it does not use inputs or outputs submitted through its commercial API to train its models. We also do not use your content to train any AI model, and we do not sell your content.
• We store your drafts. We retain the content you submit and the resulting scores in our database so you can see your history and so we can calibrate and improve coaching quality. You can delete this content (see Section 9).
• Confidentiality — please read. Your inputs are transmitted to and processed by third-party providers. Do not submit privileged, confidential, or client information that you are not authorized to disclose to third-party service providers. You are responsible for your professional and ethical obligations (see our Terms of Service).

5. How We Share Information

We do not sell your personal information. We share information only as described here:

• Service providers (sub-processors). With vendors who process information on our behalf to run the Service, under contractual confidentiality and security obligations (see the table below).
• Legal & safety. When required by law, legal process, or to protect the rights, property, or safety of Your Post Coach, our users, or others.
• Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
• With your direction. When you ask us to share, or when you make information public.

5.1 Our sub-processors

Each provider maintains its own privacy practices. We keep this list current; if it changes materially we’ll update this Policy.

6. Cookies & Tracking

We use essential cookies (for example, to keep you signed in via Clerk) that are necessary for the Service to function, and analytics cookies (Google Analytics) to understand aggregate usage. You can control cookies through your browser settings; disabling essential cookies may break parts of the Service. Where required by law, we will seek consent for non-essential cookies.

7. Data Retention

We keep your information for as long as your account is active and as needed to provide the Service. We retain your drafts, scores, and profile to power your history and to calibrate coaching quality until you delete them or close your account. We may retain limited information as required for legal, accounting, security, or dispute-resolution purposes, and residual copies may persist in backups for a limited period.

8. Data Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and reputable infrastructure providers with access controls. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.

9. Your Rights & Choices

Depending on where you live, you may have the right to access, correct, update, delete, export, or restrict the processing of your personal information, and to object to certain processing or withdraw consent. You can update much of your information in your profile, or contact us at privacy@yourpostcoach.com to make a request. We will respond as required by applicable law and will not discriminate against you for exercising your rights.

9.1 California (CCPA/CPRA)

California residents have the right to know what personal information we collect and how we use it, to request access and deletion, to correct inaccurate information, and to opt out of the “sale” or “sharing” of personal information. We do not sell or share your personal information as those terms are defined under California law. We do not use or disclose sensitive personal information for purposes that require a right to limit. 9.2 EEA / UK (GDPR)

If you are in the European Economic Area or the United Kingdom, you have the rights described above, and you may lodge a complaint with your local data protection authority. The legal bases for our processing are described in Section 3. Where we transfer personal data outside your region, we rely on appropriate safeguards such as Standard Contractual Clauses.

10. International Data Transfers

We and our providers are based in or process data in the United States. If you access the Service from outside the United States, you understand your information will be processed in the United States and other countries, which may have different data-protection rules than your own.

11. Children’s Privacy

The Service is intended for professionals and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Third-Party Links

The Service may link to third-party sites and services (such as LinkedIn). We are not responsible for their content or privacy practices; their policies govern your use of them.

13. Changes to This Policy

We may update this Policy from time to time. When we do, we’ll revise the “Last updated” date above, and for material changes we’ll provide a more prominent notice. Your continued use of the Service after an update means you accept the revised Policy.
